Managing Your Availability
Availability tells your assignors or administrators when you're free (or not) for game assignments. Keeping it up to date is the most important thing you can do to get the games you want - and avoid being assigned when you can't make it.
The Availability Calendar
Your availability is managed through a monthly calendar view. Each day on the calendar can show your status:
- Available - a green check with the time range (or "All Day")
- Not Available - a red X with the time range (or "All Day")
- (blank) - no availability submitted for that day
On desktop, the calendar shows a full month view. On mobile, you'll see a compact monthly calendar at the top with a day-by-day detail list below it.
Selecting a Group
Before you can view or edit your availability, select a group from the dropdown at the top of the page. Your availability is tracked separately for each group you belong to - so being available in one group doesn't automatically carry over to another.
If no group is selected, the page will prompt you to pick one, or you can click Add Availability for All Groups to submit availability that applies across all your groups at once.
Adding Availability
There are several ways to open the availability editor:
- Click the Add Availability button in the toolbar (desktop)
- Tap the + floating button (mobile)
- Hover over an empty day on the calendar and click the Add Availability link that appears (desktop only)
This opens the availability editor dialog where you set your status.
Setting Your Status
The editor uses a sentence-style form:
I will / will not be available
Toggle between will (available) and will not (unavailable) to set your status.
Choosing Dates (One Day or Many)
The date picker starts collapsed. You'll see a row labelled Date Selected / Dates Selected with a pencil icon - click or tap it to open the calendar. Until you've picked anything, the row reads "Click to select dates" (desktop) or "Tap to select dates" (mobile).
Once the calendar is open, tap each day you want. Every day you tap is added to the selection, and tapping a selected day again removes it. There's no start-and-end shortcut - to cover a stretch of days, tap each day in that stretch.
The row's summary text updates as you go, and it's smart about consecutive days: if the days you selected happen to run back-to-back, it displays them as a range (e.g., "2026/04/01 to 2026/04/07"). Non-consecutive picks show as "2026/04/03, 2026/04/07 and 4 more".
Use the Clear button (inside the calendar, bottom-right) to reset your selection.
Tip: Only current and future dates can be selected. If your selection contains even one past date, the whole editor locks and nothing can be changed.
Multiple Days in One Save
This is the fastest way to fill in a season or a vacation block. The status and time preference you set are applied to every date you selected, in a single Save - you do not need to repeat the process day by day.
A typical bulk entry:
- Open the editor and set your status (will or will not be available)
- Open the date row and tap all the days you want - a whole week, every Saturday this month, a two-week vacation
- Set one time preference (All Day, Before, Between, After)
- Click Save
Every selected day is written at once and appears on the calendar immediately.
Note: The time preference is the same for all selected days. If Monday is "after 17:00" but Saturday is "All Day", those are two separate saves - do the days that share a schedule together, then repeat for the rest.
Setting Time Preferences
You can specify when during the day you're available or unavailable:
- All Day - the entire day
- Before - available (or not) before a specific hour (e.g., before 11:00)
- Between - available (or not) during a specific window (e.g., between 10:00 and 14:00). You can add multiple time windows.
- After - available (or not) after a specific hour (e.g., after 17:00)
Applying to Multiple Groups
By default, availability is saved to the group you currently have selected. If you belong to multiple groups and have the same schedule, click the Apply to X Groups button at the top-right of the editor to choose which groups should receive this availability entry. You can also check Apply to All Groups to update them all at once.
Saving
Click Save to submit. All selected dates are saved together, and the calendar updates to show your new availability entries.
Save stays greyed out until the entry is valid. If you can't click it, check:
- At least one date is selected - an empty date selection blocks the save
- At least one group is checked - unchecking every group in "Apply to Groups" blocks the save
- No selected date is in the past - one past date locks the entire editor
- "will not" with existing assignments - if any selected date already has a game assigned to you, the will not option is disabled. Remove that date from your selection, or contact your assignor to be taken off the game first.
Editing Existing Availability
To modify an existing entry:
- Click on the availability entry shown on the calendar (the green check or red X)
- The editor will open pre-filled with the current status, date, and time range
- Make your changes and click Save
Removing Availability
If you need to clear availability for a date entirely (rather than switching between available/unavailable):
- Click on the existing entry to open the editor
- Click the Remove button at the bottom-left of the dialog
- Confirm the removal when prompted
The day will return to a blank (unfilled) state.
Note: You cannot remove availability for dates where you already have game assignments. If you need to change those dates, contact your group's assignor.
Availability Periods
Your assignor may set up availability periods - specific date ranges where they need you to fill in your schedule (e.g., "Spring Season: April 1 – June 30"). When a period is active, you may see a reminder on your dashboard prompting you to submit your availability for that timeframe.
Things to Keep in Mind
- Past dates are locked - you can view past availability entries but cannot edit or remove them. Including a past date in a multi-date selection locks the entire editor, not just that day.
- Availability does not equal assignment - marking yourself as available doesn't guarantee you'll be assigned. Your assignor makes the final call based on many factors.
- Updates don't remove assignments - if you change a day from available to unavailable after you've already been assigned a game on that day, the assignment stays. Contact your assignor directly to get reassigned.
- Per-group tracking - each group tracks availability independently. Use the "Apply to Groups" feature if your schedule is the same across groups.
Tips
- Submit availability early - it gives your assignor more flexibility when scheduling
- Work in batches - select every day that shares the same schedule and save them together instead of one day at a time
- Fill in entire periods when they open - don't wait until the due date
- Use time ranges when your day is split - "available after 17:00" is much more useful than just "available"
- Keep it updated - if your plans change, update your availability right away
- The mobile calendar is swipeable - swipe left/right to navigate between months
